Information we collect
Depending on how you use the website, we may collect:
- Your name, email address, organisation, telephone number and billing address.
- Details of products you order, download or purchase and information needed to fulfil the order.
- Payment and transaction information. We do not receive or store your full card details.
- Customer-account details if you create an account.
- Messages and information you send through a form or by email.
- Information needed to discuss or deliver an agreed consultancy or school-support service.
- Technical and security information, including IP address, browser, device, pages visited, referring website and relevant website logs.
- Cookie, analytics and embedded-content information where you have agreed to the relevant non-essential cookies.
We collect most information directly from you. Some technical information is collected automatically by the website, and payment status or fraud-prevention information may be received from our payment provider.
Please do not send information about a child’s health, education or additional needs through the general contact form unless it is necessary for your enquiry. If sensitive personal information is needed for an agreed consultancy service, we will explain what is required and how it will be handled before you provide it.
How and why we use information
We use personal information to:
- Process orders and provide digital downloads.
- Manage customer accounts.
- Answer questions and respond to service enquiries.
- Discuss, arrange and deliver agreed consultancy or school-support services.
- Keep financial, tax and transaction records.
- Operate, protect and troubleshoot the website, prevent fraud and investigate misuse or security incidents.
- Measure and improve the website where you have agreed to analytics cookies.
- Send newsletters or other marketing only where permitted by law. Where we rely on consent, you can withdraw it at any time.
We do not add someone to a marketing list merely because they ordered or downloaded a free resource.
Our lawful bases
UK data protection law requires a lawful basis for each use of personal information. Depending on the circumstances, we rely on:
- Contract: to process an order, deliver a download, take steps requested before entering a contract or provide an agreed service.
- Legal obligation: to keep appropriate tax, accounting and business records and meet other legal duties.
- Legitimate interests: to respond to enquiries, operate and secure the website, prevent misuse, administer the business and improve our services. We consider the effect on your rights before relying on this basis.
- Consent: for non-essential cookies and tracking, and for marketing where consent is required. You may withdraw consent at any time.
Where information is required to complete an order or provide an agreed service, not providing it may mean we cannot accept the order or deliver that service.
Children
The shop, contact form and customer accounts are intended for adults who purchase, download or deliver resources. We do not knowingly use the website to collect personal information directly from children.
If you believe a child has provided personal information through the website, email hello@wildtogether.co.uk so we can investigate and take appropriate action.
Who we share information with
We share personal information only where necessary to operate the website, fulfil an order, provide a service, protect the business or meet a legal obligation. Recipients may include:
- IONOS, which provides website hosting and company email services.
- WooCommerce and WordPress service providers, which support the shop, orders and customer accounts.
- Stripe or another payment provider offered at checkout, for payment processing, security and fraud prevention.
- Google, where you consent to Google Analytics, or choose to interact with Google-hosted content.
- Automattic/Jetpack and MailPoet, where their website, security, statistics, transactional-email or newsletter functions are used.
- SureForms, where it is used to collect a form submission.
- Providers of embedded or social content, such as YouTube or Pinterest, where you consent to or interact with that content.
- Accountants, bookkeepers, legal advisers, insurers, website-support providers and other professional advisers where necessary.
- Public authorities, regulators or law-enforcement bodies where disclosure is required or permitted by law.
Providers acting on our behalf must use personal information only for the agreed purpose and protect it appropriately.
International transfers
Some technology providers may process information outside the United Kingdom. Where UK data protection law treats this as a restricted international transfer, we use a provider covered by UK adequacy regulations or an appropriate safeguard, such as the UK International Data Transfer Agreement, the UK Addendum to approved contractual clauses, or another mechanism permitted by UK law.
How long we keep information
We keep identifiable information only for as long as needed for the purpose for which it was collected, or to meet a legal, accounting, insurance or dispute-resolution requirement.
- Order, payment and accounting records are normally kept for six years from the end of the company financial year to which they relate, and longer where the law requires it.
- Customer-account profile information is kept while the account is active and for up to 24 months after the last activity, unless you ask us to close it sooner. Information that forms part of a transaction record may be kept for longer.
- General contact-form and email enquiries are normally kept for up to 24 months.
- Unsuccessful consultancy enquiries are normally kept for up to 12 months.
- Information used to deliver an agreed consultancy or support service is kept for the duration of the engagement and afterwards for as long as reasonably needed for contractual, insurance, safeguarding or legal purposes.
- Marketing records are kept until you unsubscribe or object, or until we decide the information is no longer current or useful.
- Analytics and security information is kept in line with the configured retention periods of the relevant service and is reviewed regularly. Aggregated or anonymised information that no longer identifies anyone may be kept for longer.
When information is no longer required, we delete it securely or anonymise it.
Your rights
Depending on the circumstances, you may have the right to:
- Ask for a copy of your personal information.
- Ask us to correct inaccurate or incomplete information.
- Ask us to delete information.
- Ask us to restrict how information is used.
- Object to processing based on legitimate interests or to direct marketing.
- Receive information you provided in a portable format where the right applies.
- Withdraw consent at any time where we rely on consent.
Some rights are subject to legal exceptions. For example, we may need to keep transaction records to meet tax and accounting duties.
To exercise a right, email hello@wildtogether.co.uk. We may need to confirm your identity. We normally respond without undue delay and within one month.
Automated decisions
Wild Together does not make decisions about you based solely on automated processing that produce legal or similarly significant effects. A payment provider may carry out automated security or fraud checks. Contact us if you believe a legitimate payment has been blocked.
